Writing a Paper

Authors will be informed as to the status of their submission on Friday, 21 December 2007. Accepted authors should read the information below carefully.

All successful authors are expected to present their papers at the conference. All presented papers will be published in the conference proceedings, provided that a paid registration has been received from the author(s). There will be no parallel sessions, and all contributions will be presented as interactive poster sessions.

Successful Authors should submit their complete camera ready paper of up to 2 A4 pages in length using the on-line submission system by Friday, 29 February 2008 or they will be withdrawn from the conference.

Use of the full paper template is mandatory and only full papers following the instructions provided below will be considered.

Submitting a full paper

To submit your full paper you will need to re-enter the on-line submission system. Please check very carefully that all the information you have provided is correct. Here is a summary of what you should have provided:

  • Click on the number of the paper you wish to submit
  • Check the title is still correct
  • Browse to upload your pdf camera-ready file. Please do not page number your file
  • Ensure a biography of the presenting author is entered
  • Ensure all authors are listed on the final page. Again using lower case letters except for the first letter of each name
  • Ensure affiliations are correct. This is for the organisation you represent, eg London Power Associates Ltd and not professional affiliation eg The Institution of Engineering and Technology
  • Click finish to complete. You will receive a confirmation email

Papers will be published in the Conference Proceedings from the author-supplied 'camera-ready' copy. Please do not page number your file. Original material must be provided in all cases and the paper must be in the form of a .pdf document.

It is essential that authors make sure all fonts are embedded and .pdf files are submitted unlocked. If files are submitted in ‘Read Only’ format or with security we may be unable to publish your paper. If fonts are not embedded in the .pdf the file may not print correctly and again may have to be omitted from the proceedings.

Each paper must have at least one author registered by Friday, 29 February 2008, to avoid the paper being withdrawn from the conference proceedings. You are reminded that the Institution or other associated societies cannot meet any travelling or subsistence expenses for authors, either prior to or during the conference.

Poster Display:

You should clearly display the following information on your poster board:

  • The title of your paper
  • The authors’ names and their affiliations
  • Your usual contact details (e.g. an Email address) to allow delegates to follow up discussion.

In addition to your written paper included in the Conference publication, the poster session is your opportunity to present your work directly to other registrants and to discuss it with them. It is a particularly useful format for small group discussion and debate.

Try to attract the registrants to your poster. Unless they come to it, you cannot expect to have a discussion with them. The display should therefore be visually appealing and should contain the essence of your paper in a form that is easy to understand.

Your display should consist chiefly of keywords, diagrams, photographs, etc. Colour photographs are particularly attractive in a poster display. Diagrams and graphs should have clear captions. All lettering should be easy to read. Handwritten text or diagrams are not recommended. All graphs and diagrams should be drawn with thick lines (preferably 1mm or more in width). Use colour to emphasise important features.

The poster display is important. You are recommended to take as much trouble with it as you did in preparing your written paper.

Display Board

A display board approximately 2 metres high and 1 metres wide will be provided for your poster display. If you are pre-preparing your poster as one large sheet, please ensure that it is in Portrait format.

Overview of Topic Area

Some authors will be invited by the Conference Committee to prepare, in addition to their poster presentation, an overview of the topic area of their paper to be presented in an oral session preceding the interactive poster session.

These authors will be notified in early January 2008

Special Issue

CEM 2008 is delighted to continue to offer authors of conference papers an additional route to publication, through the IET’s highly regarded IET Science, Measurement & Technology peer reviewed journal. Immediately after the conference, the Conference Committee will select approximately 30 papers for possible publication in a Special Issue of IET Science, Measurement & Technology (IET SMT). The choice of these papers will be based on the initial review scores for acceptance at the conference, and an additional review score to be submitted by the Chair of the session in the conference in which the paper is presented. Authors who receive an invitation will be expected to submit an extended version of their conference paper to the journal’s online manuscript tracking platform by Friday, 30 May 2008, stating clearly that their papers is for consideration in the CEM 2008 Special Issue. Please note that papers will be subject to the same standards of peer review as regular IET SMT journal papers and that an invitation to submit an expanded paper is not a guarantee of publication in the journal. The special issue is expected to be published in November 2008.

CEM Copyright Agreement

Copyright Form

This agreement relates to all the material published concerning CEM 2008 such as, but not limited to, conference proceedings, presentation slides or other electronic forms. Please note that part or all of the conference may be filmed for www.iet.tv

In submitting a paper to CEM 2008 the authors assign to The Institution of Engineering and Technology copyright ownership of the submitted work, this assignment to be effective as of the day of registration of the material at CEM 2008. The copyright form must be signed by one of the Authors.

The Institution of Engineering and Technology shall have the right to register copyright to the article in its name as claimant, whether separately or as part of another medium in which such work is included. Also, The Institution of Engineering and Technology shall have the right to grant reprint permission to third parties and to receive reasonable royalties in such instances.

If a copyright form is not received copyright will be assigned to the corresponding authors affiliation.
Authors reserve the following rights:

  • The right to use all or portions of the submitted article in future works of their own
  • All proprietary rights, such as patent right
