For CVMP 2008, you have the option of submitting either a full paper of up to 10 A4 pages in length or a short paper of 1 A4 page in length.
The CVMP 2008 full paper submission system is now active. Prospective authors should submit a complete paper of up to 10, A4 pages in length, including any diagrams using the on-line submission process, .
All papers should be produced in two column format and typed in 10 point Times New Roman format. Authors whose papers are selected for presentation will be asked to submit final 'camera ready' versions for publication.
Use of the CVMP 2008 template is mandatory and only full papers following the instructions provided will be considered. Successful authors must also complete and return the copyright form.
Papers selected will be allocated either an oral or a poster presentation in the conference programme.
The zipped archive below contains the necessary style file and examples for Latex users. The example.pdf file was created from the example.dvi file using "dvipdfm -p a4 example. PDF is the preferred document upload format for CVMP.

Before submission
Before submission, make sure that the following material is ready:
- Title, authors' names, affiliation and a 35 word (approx) biography. If your title and short paper contains no special characters, and no sub or sup scripts, the text can be copied and pasted from your Word document or typed in directly
- Your full paper of no more than 10 A4 pages, including title, names and affiliation in word format (file size maximum 2.0 MB - Megabyte)
- Preferred topic area (the Technical Programme Committee reserves the right to change the authors' choice of topic area)
Once you have the material listed above ready you can proceed with the electronic submission of your full paper.
Submitting a final full paper
To submit your final full paper, following the peer review process, you will need to re-enter the on-line submission system. Please check very carefully that all the information you have provided is correct. Here is a summary of what you should have provided:
- Click on the number of the paper you wish to submit
- Check the title is still correct
- Browse to upload your pdf camera-ready file. Please do not page number your file
- Ensure a biography of the presenting author is entered
- Ensure all authors are listed on the final page. Again using lower case letters except for the first letter of each name
- Ensure affiliations are correct. This is for the organisation you represent, eg London Power Associates Ltd and not professional affiliation eg The Institution of Engineering and Technology
- Click finish to complete. You will receive a confirmation email

Important information for short and full papers
- The working language of the conference is English, which will be used for all printed material, presentations and discussion.
- The short paper and full paper template is a Microsoft Word file. Please save this template file to your PC's hard drive and use it when you prepare your paper. Papers MUST be submitted using the template forms provided.
- If you are submitting more than one full paper you can use the same email address and password for each paper.
- Each paper must fit within the paper template and use the Times New Roman font, size 10.
- Length - Up to a maximum of 1 A4 page (you may include diagrams) for short papers and up to 10 A4 pages for full papers.
- Special Characters - When inserting special characters in text use the ‘Insert Symbol' function (avoid code-numbers for the symbols).
After submission
On submission of your paper, the corresponding author will receive a confirmation of the receipt of the paper.
Processing and publication of personal data
The personal information we receive from delegates will also be required after the conference. This is in order to render an account of the conclusions arrived at during the conference, for statistical purposes, and for the dispatch of information on relevant conferences in the future.
Personal data will be stored by the Institution of Engineering and Technology for future mailings and information on forthcoming conferences. Personal data may also, in certain cases, be released to other companies participating in the conference for the distribution of information and offers directly from them.
Full and short papers will be published in the CD ROM conference proceedings from the author-supplied 'camera-ready' copy. Please do not page number your file. Original material must be provided in all cases and the paper must be in the form of a .pdf document.
It is essential that authors make sure all fonts are embedded and .pdf files are submitted unlocked. If files are submitted in ‘Read Only' format or with security we may be unable to publish your paper. If fonts are not embedded in the .pdf the file may not print correctly and again may have to be omitted from the proceedings.
Each paper must have at least one author registered by Friday, 10 October 2008 to avoid the paper being withdrawn from the CR ROM conference proceedings. The author must be present at the conference to present the paper either orally or by poster presentation. Failure to do so, even if registered and paid for the conference, will result in the paper being withdrawn from IET Inspec database and IEEExplore. You are reminded that the Institution or other associated societies cannot meet any travelling or subsistence expenses for authors, either prior to or during the conference.
CVMP 2008 Copyright Agreement:
Copyright form
This agreement relates to all the material published concerning CVMP 2008 such as, but not limited to, conference proceedings, presentation slides or other electronic forms. Please note that part or all of the conference may be filmed for www.iet.tv .
In submitting a paper to CVMP 2008 the authors assign to the Institution of Engineering and Technology copyright ownership of the submitted work, this assignment to be effective as of the day of registration of the material at CVMP 2008. The copyright form must be signed by one of the authors.
The IET shall have the right to register copyright to the article in its name as claimant, whether separately or as part of another medium in which such work is included. Also, the Institution of Engineering and Technology shall have the right to grant reprint permission to third parties and to receive reasonable royalties in such instances.If a copyright form is not received, copyright will be assigned to the corresponding author's affiliation.
Authors reserve the following rights:
- The right to use all or portions of the submitted article in future works of their own
- All proprietary rights, such as patent right

Please contact the organisers at your earliest convenience if you are unable to assign copyright to the Institution of Engineering and Technology, or do not wish to be filmed.
Each author presenting an ORAL paper will be asked to submit PowerPoint slides in advance of the conference. Authors will be asked to include their unique paper number with their email. The slides will be loaded onto the lecture theatre computer prior to the relevant session. Delegates should bring a copy of their slides on CD/memory stick with them to the conference as a back up.
PowerPoint presentation guidelines will be posted on the website nearer the time.
Full and short paper poster presentation authors only
In addition to your written paper included in the conference proceedings CD ROM, the poster session is your opportunity to present your work directly to other registrants and to discuss it with them. It is a particularly useful format for small group discussion and debate.
Your display should consist chiefly of keywords, diagrams, photographs, etc. Colour photographs are particularly attractive in a poster display. Diagrams and graphs should have clear captions. All lettering should be easy to read. Handwritten text or diagrams are not recommended. All graphs and diagrams should be drawn with thick lines (preferably 1mm or more in width). Use colour to emphasise important features.
You should clearly display the following information on your poster board:
- The title of your paper
- The authors' names and their affiliations
- Your usual contact details (e.g. an email address) to allow delegates to follow up discussion.
