The submission process

Following the review of papers, authors have now been notified via email of their paper acceptance. Successful authors have been invited to submit a final version of their full paper and present their work either orally or as a poster display at RTIC 2012.

 

Widespread exposure

As a successful author, the IET guarantees that your paper will be published and made available to the world’s leading research scientists and engineers. In addition to being able to present your research as either an oral paper or poster, all successful authors will:

  • Have their final paper published in the official conference proceedings
  • Have their paper indexed on IEEE Xplore
  • Have their paper published on the IET Digital Library
  • Have their paper indexed by IET Inspec
  • The IET may also, with the permission of the author, film the presentation for publication on IET.tv

 

Writing a full paper

  • Full papers are required for all submissions. Papers must be submitted using the full paper template provided. Please ensure all text / diagrams fit within the template and use Times New Roman or Arial font, size 10
  • When inserting special characters in text use the ‘Insert Symbol’ function from the top menu
  • All papers must be submitted in pdf format according to the instructions within the full paper template
  • Papers should not exceed six sides of A4
  • Final full papers must be submitted by Friday, 29 June 2012
  • The working language of the conference is English, which will be used for all printed material, presentations and discussion

 

Submitting your final paper

  • Access the online submission system
  • Login with your username and password
  • Click on the title of the paper you wish to update
  • Browse to your camera-ready pdf final paper file
  • After updating your paper file, you will be sent an automated email confirming you have updated your submission

 

Summary of actions for oral presenters

  • View the referees comments for your paper (full instructions and link can be found in the author notification email which you should have already received) and address any recommendations / corrections
  • Submit your updated final paper via the online submission system by Friday 29 June 2012
  • Register for the conference by Friday 17 August 2012 to take advantage of the reduced author rate
  • Submit a copyright form (please see full instructions below)
  • Create a power point presentation to present to the audience at the conference and submit these to the session chair by no later than Monday 3 September 2012  (please see full instructions below)

 

Summary of actions for poster presenters

  • Submit your updated paper via the online submission system by Friday 29 June 2012

  • Create a poster for display at the conference. You will be required to print and bring your poster with you on the day. Full instructions on poster size / format can be found below

 

Oral presentation instructions

Presentations should last no longer than 15 minutes as we allow an additional five minutes per presentation for questions from the audience.

  • Please send your PowerPoint slide file via email to elester@theiet.org by no later than Friday 14 September 2012. Authors are also asked to include their paper reference number within this email
  • The slides will be loaded onto the session laptop by the organisers prior to the relevant session
  • Authors should bring a copy of their slides on a memory stick with them to the conference as a back up

 

Poster presentation instructions

In addition to your written paper included in the conference proceedings, authors selected for a poster presentation will be asked to produce and bring along a printed poster for display in the poster area at the conference.

We would also like you to produce a quad (one power point slide using quad template) so you can give a two minute presentation on your poster to encourage delegates to come and discuss further with you at the conference. Please send your quad to Elizabeth Lester by no later than Monday 3 September 2012.

At the conference in the catering / exhibition area there will be a number of large boards for you to display your poster on. The IET will provide pins and velcro to stick them to the boards.

During the breaks and at lunch time you will be expected to spend some time at your poster as it is your opportunity to present your work directly to other delegates.

 

Your poster display

  • The poster board size is A0, portrait

 

You should clearly display the following information on your poster board

  • The title of your paper
  • The authors’ names and their affiliations
  • Your usual contact details (e.g. an email address) to allow delegates to follow up discussion

 

Useful tips

  • Your display should consist chiefly of keywords, diagrams, photographs, etc
  • Diagrams and graphs should have clear captions
  • All text should be easy to read
  • Use colour to emphasise important features
  • All graphs and diagrams should be drawn with thick lines (preferably 1mm or more in width)
  • Handwritten text or diagrams are not recommended

 

Remember…

  • The display should be visually appealing and should contain the essence of your paper in a form that is easy to understand
  • Try to attract the registrants to your poster. Unless they come to it, you cannot expect to have a discussion with them
  • The poster can contain visuals that were not present in your paper
  • The poster display is important. You are recommended to take as much trouble with it as you did in preparing your written paper

 

Copyright agreement

In submitting a paper to RTIC 2012, the IET requests the authors to assign copyright ownership of the submitted work. The copyright form must be signed by one of the authors.

Authors reserve the following rights

  • The right to use all or portions of the submitted article in future works of their own
  • All proprietary rights, such as patent right

Please contact the organisers at your earliest convenience if you are unable to assign copyright to The IET, or do not wish to be filmed. If a copyright form is not received copyright will be assigned to the corresponding author’s affiliation.

 

Processing and publication of personal data

Personal data will be processed by the Institution and its associated organisations for the purpose of organising your attendance at this event.  It may also be used for the promotion of other IET products and services and contacting you for market research purposes.

By providing us with your postal address, email address and telephone number you agree that we may contact you by these methods. You can change this preference at any time by either contacting us by post, following the link on a received email or amending your preferences if you have a MyIET online account.

 

Accepted papers

Each paper must have at least one author registered by Friday 17 August 2012, to avoid the paper being withdrawn from the conference proceedings. Author’s presenting two or more papers must pay the additional paper fee. The author must be present at the conference to present the submission either orally or by poster presentation.

You are reminded that The IET or other associated societies cannot meet any travelling or subsistence expenses for authors, either prior to or during the conference.
